AI Chatbot vs AI Agent: What's the Difference?

AI Chatbot vs AI Agent: What's the Difference?

The Short Answer

A chatbot responds to messages with information — it answers questions using rules or an LLM. An AI agent goes further: it can take actions (call APIs, update records, trigger workflows) to actually complete a task, not just describe how to do it.

What a Chatbot Does Well

  • Answering frequently asked questions accurately and instantly
  • Qualifying leads by asking a structured set of questions
  • Basic customer support triage before handing off to a human

What an Agent Can Do That a Chatbot Can't

  • Book an appointment or reservation directly
  • Update a database record or CRM entry
  • Trigger a multi-step workflow across several tools
  • Chain multiple tools/APIs together to complete a task end-to-end

If your goal is eliminating manual work, not just answering questions, you need an agent.

Which One Does Your Business Need?

If your goal is to reduce repetitive questions to your support team, a chatbot is usually enough and much faster to build. If your goal is to actually eliminate manual work — like updating records or processing requests without a human touching each one — you need an agent, which requires more careful design since it's taking real actions on your systems.

Building Either One

ProjectPilotHub builds both AI chatbots and AI agents as part of our AI automation service, scoped to what your business actually needs rather than defaulting to the more complex option.
